This document explains what personal data we collect in connection with the usefluo.pl website and the fluo system, why we process it and what rights you have.
1. Data controller
The controller of personal data processed in connection with usefluo.pl is fluo, ul. Targowa 6/5, 72-010 Police / ul. Cyfrowa 2-8, Szczecin. Contact for data protection matters: kontakt@fluoapp.pl.
For field worker data entered into fluo by a customer company, that company is the controller and we act as a processor under a data processing agreement.
2. What we collect
- Contact form data: name, email address, optionally company name, phone number, headcount and the message itself.
- Server technical data: IP address, request timestamp, browser type — stored in server logs and used only for security and diagnostics.
- fluo system data (accounts, working time, location during a shift, photos, messages) — processed on behalf of the customer company.
3. Purpose and legal basis
- Answering a contact enquiry — Art. 6(1)(b) and (f) GDPR.
- Keeping the service secure and stable — Art. 6(1)(f) GDPR.
- Performing the fluo service agreement — Art. 6(1)(b) GDPR.
- Meeting tax and accounting obligations — Art. 6(1)(c) GDPR.
4. Worker location
fluo collects location data only during an active shift that the worker started deliberately in the app. Pressing stop ends collection.
Only the owner and coordinators of the employing company can see location. Client portal users see neither position nor route.
Informing workers about monitoring and introducing it in line with employment law is the employer's obligation — we provide a template notice.
5. Retention
- Contact correspondence: up to 24 months from the last exchange.
- Server logs: up to 90 days.
- fluo system data: for the term of the agreement and up to 30 days afterwards, unless the law requires longer.
6. Recipients
Data may be entrusted to infrastructure providers (server hosting in the European Union, outbound mail provider, object storage for photos) strictly as needed to deliver the service and under processing agreements.
We do not sell data and do not transfer it outside the EEA without a legal basis.
7. Your rights
- Right of access and to obtain a copy of your data.
- Right to rectification, erasure or restriction of processing.
- Right to data portability.
- Right to object to processing based on legitimate interest.
- Right to lodge a complaint with a supervisory authority.
8. Cookies
usefluo.pl uses no marketing or analytics cookies. We embed no third-party tracking scripts or advertising pixels.
9. Account and data deletion
A fluo mobile account is created by the employer, not by the worker — so deletion is requested from us rather than from inside the app. Email kontakt@fluoapp.pl from the address linked to the account, or ask your coordinator to pass the request on. We action it within 30 days.
We delete: the account and its sign-in credentials, the profile picture, chat message content, location points and documentation photos. We retain working-time records to the extent employment and tax law requires your employer to keep them — they are the controller of that data. The records are deleted once that retention period ends.
10. Changes
The current version is always available at this address. The last update date appears at the top of the document.
